Exporting and Importing Records

While file operations vary from application to application most applications allow the exporting and importing of records.

Export Incidents, for example, allows you to export a set of incidents into the transfer folder via either the Server path or the Local path. Exported records can be imported into FirePoint using the Import Incidents operation.

Remember all records must be exported to the transfer folder. Whether the transfer folder is on a disk, a file server or a hard disk drive, records must be imported into FirePoint from the same transfer folder.

When an export operation is chosen from the "Select an Operation", the user selects the records to be exported by a complex search box. This is the same search box used in searching and sorting.

FirePoint will make copies of the selected records and create one or two export record files which are saved into the transfer folder.

The Incidents, Apparatus, Classes and Patients files each produce two files during record export. In Incidents the "IN1" file holds incident data, the "IN2" file holds code descriptions. In Apparatus, the "AP1" file holds Apparatus records, the "AP2" file holds Responder records. In Classes, the "CL1" file holds Classes records, while the "CL2" file holds Roster records. In Patients, the "PA1" file holds Patients records and the "PA2" file holds related Treatments.

Most other files produce single file exports. The first three letters of the file identify the export. For example, Exposures export files begin with "EXP".

When an importing operation is chosen the user is presented with a file navigation box and directed to open the transfer folder containing the export. The import is initiated when the user double-clicks on the correct import file.

In general all imported records are checked for duplication. If the record already exists in the file, it is rejected. At the end of the importing process, the user is advised about the number of records imported and the number that were rejected as duplicates.
